By default, the Resource Access setting allows the reservation to be booked by an Organization member with access to the Resource. With the approval process setting in place, the reservation is pending until approved by an Administrator. For example, this feature can be applied to equipment that may require advanced training and confirmation of those training credentials before the booking is confirmed.
Application Admins will access the Resources Page under the Application Management menu while Resource and Schedule Admins will access the Resource page through the Responsibilities menu. From the Resources Page, Administrators will adjust the setting under the Access section. Visit Adding and Managing Resources to learn more.
Enabling Reservations for Approval
From the Access section, click the pencil icon and enable the option Reservations must be approved.
When any Resource requiring Approval is reserved, the user is notified of this immediately after making the reservation via a pop-up window. The reservation will remain pending until the request is approved by an Application Admin. Resource, or Group Admin.
Notification Settings
To receive an email when a pending booking is Approved, users should visit their Account Notification Preferences and adjust the setting to receive the email. By default, all email notifications are disabled. To learn how to adjust account notifications, visit Manage Your Account Profile and Preferences.
Administrator notification emails are controlled by the Application Administrator via Application Configuration in the Administrator Reservation Email Notifications section. Visit Application Configuration Advanced Settings to learn more.
Reviewing and Approving Reservation Requests
Application Administrators can review pending Reservations through the Application Management and Reservations menu while Resource and Group Admins will access through the Responsibilities menu.
From the Reservations page, filter on Pending Reservations and click Approve or Reject. Approving will complete the creation of the reservation and rejecting will allow you to include a message to the requestor.
