LabArchives Inventory makes it easy to find items using a variety of search tools. The Simple Search can be used to quickly look up an item by name while the Advanced Search can search across multiple fields using detailed criteria. You can also use the filters on the main Inventory tab to narrow results by Inventory Type, Location, or Date Received.
Simple Search
Simple Search provides a fast and convenient way to locate an Inventory Item by name. This search is limited to the Name field and does not include other record fields or filtering options. You can access Simple Search from the landing screen or main Inventory tab.
Landing Screen:
As you begin typing in the search bar, suggested matches will appear along with key details, helping you quickly identify and select the correct item.
Inventory Tab:
Enter your keywords in the search box and click Search.
Advanced Search
The Advanced Search allows you to search Inventory using any combination of indexed fields. The Advanced Search is available from the main Inventory tab. Click the down arrow within the the Search button to open the Advanced Search menu.
Build your search by selecting the fields you want to search within. This includes standard fields like Name or Quantity, as well as any custom fields set up for your Inventory Types. Add as many search rows as needed to build your search strategy. To learn more about fields and inventory types, view Adding and Editing Inventory Types.
Depending on the fields that you have selected to search, you may see a text box to add in your keywords or for example, if Expiration Date is selected, options will be available to search On, After, Before, or Between the entered date.
If you select Does Not Contain in your search strategy, it will not return items with empty fields. For example, searching Description with Does Not Contain and a text entry, the results will not include items where the Description field is blank.
The And selection can be used to add more conditions to the search strategy. Results will include items that match all of the conditions you’ve added.
If you select the same field more than once, the search will return items that match either condition.
If you run the same search often and to save time, click Save this search so that the search can be named and then reused when needed. Your saved searches can be accessed from the Saved Searches list.
Browse From the Results Page
On the left side of the main Inventory page, you’ll find filters that can be used on their own or combined with a search to narrow down the items displayed. Available filters include Inventory Types, Locations, Received Date Range, and Availability (to include out-of-stock items).
You can combine filters to find specific items—for example, all antibodies stored in a particular freezer box. You can also use the Location filter by itself to see everything in a refrigerator when doing a physical check. Selecting No Location Set will show items that don’t have a location assigned.
If you want to review the history of an item that has been reordered multiple times, search for the item and check the Availability filter to include out-of-stock items along with what is currently in stock.
You can also sort the Inventory list by Name, Type, Price, Quantity, or Date Received.
