The User Management tool is used to control notebook access and permissions. The ability to manage notebook access is restricted to members assigned the roles of Notebook Owner, Account Administrator, or Notebook Administrator. In other words, if you are currently assigned the role of a Notebook User or Guest, you do not have the privilege to invite other members to that notebook. User Management is accessible through the Notebook Settings menu. To access it, click the triple-dot menu in the top-right corner of the main navigation bar, select Notebook Settings, and the User Management tab (second tab). While viewing the current notebook, if you do not see the Notebook Settings feature, this indicates that you have been assigned a role in the notebook that does not give you permissions to manage access (this includes the User and Guest roles).
How to Manage Members
To add a member to your notebook, click the Add User icon in the top-right corner of the User Management tab. Enter the member's email address, then click Add User. Once added, their name will appear in the member list, where you can assign a role and further manage permissions. By default, new members are assigned the User role, but that can be adjusted at any time through the Role menu.
You can remove members from your notebook by going to the User Management tab, finding their name in the list, and clicking the trashcan icon. When removing access, you are not removing any contributions they've made to the notebook as that will be retained, but instead you are removing their access so that they can no longer view or edit any notebook content.
This process should be repeated for each notebook by selecting the notebook from the Notebook Navigator and then visiting the notebook's User Management tool. Visit the Account Manager article to learn how to add or remove members across multiple notebooks at once.
In addition to adding and removing members from the notebook, the User Management tab includes the following options:
- Enabling page Signing privileges - The option to support page signing or witnessing must first be enabled by the Notebook Owner through Notebook Settings.
- Enabling page Witnessing privileges - The option to support page signing or witnessing must first be enabled by the Notebook Owner through Notebook Settings.
- Assigning members to groups and managing group roles.
- Notebook Owners can transfer ownership of the notebook to another member.
